Property Manager

LOCATION: US – CA – WOODLAND HILLS, TARZAZNA, ENCINO, SHERMAN OAKS, NORTH HOLLYWOOD
TYPE: FULL-TIME

The Property Manager is primarily responsible for all aspects of assigned property and resident management which includes but not limited to managing customer support to residents by providing assistance with service requests, rental issues and coordinating other miscellaneous resident related functions to achieve community goals surrounding resident retention.

KEY RESPONSIBILITIES

  • Achieves the community’s resident satisfaction and retention goals by ensuring resident complaints and/or concerns are resolved in a timely manner, and by answering questions concerning rent and fee payments. Cleans debris from sidewalks, walkway interior hallways, stairwells, leasing office, landscaping grounds, pool area, and parking lot.
  • Utilizes Company leasing expectations and procedures to warmly greet prospective residents, qualify, determine needs and preferences, professionally presents the property and apartments, utilizes feature/benefit selling, close the lease and follow-up
  • Collects rents when due and promptly deposit them in the building account. Deposits must be made on each of the first 4 business days of the month. For deposits made after the first week of the month, rent checks should not be held for more than 4 calendar days. Performs minor and routine painting, plumbing and other related maintenance activities
  • Reviews daily Courtesy Patrol reports, follow-up on incident reports and lease violation notices as necessary, and ensures the leasing office is secured for the evening
  • Reports promptly to the main office any delinquencies in rent payments over 25 calendar days
  • Completes call-backs on all service requests within 24 hours to ensure customer satisfaction
  • Develops, produces and coordinates resident communications, by creating newsletters, surveys, lease violation letters, and other communications to the residents
  • Evaluates the appearance and overall curb appeal, landscape, office environment and vacancies on a daily basis and ensure the leasing office, and walkways are ready for show daily
  • Prepares and keeps such records and reports required for the operation of the premises
  • Supervises the cleaning and preparation of all vacant apartments for rental
  • Reports to the main office all present and projected vacancies and changes of tenancy immediately upon discovery
  • Reports new rentals to the main office, including the apartment number, last name of the lessee(s) and the move-in date
  • Enforces rules and regulations governing the premises and report any unusual tenant problems or behavior to the main office
  • Serves as the tenant’s source of final authority
  • Serves notices as directed
  • Reports promptly to the main office all necessary repairs that are unable to be satisfactorily performed by the building staff
  • Complies with the rules and regulation of the Fair Employment Practices Commission of the State of California concerning rental practices, and with the Fire, Health and Safety Departments of the City or County Government
  • Checks the answering service throughout the day for messages, and returns calls as necessary
  • Takes initiative to resolve problems

SUPERVISORY REQUIREMENTS

  • Directly supervises entire staff at location. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems

MINIMUM REQUIREMENTS

  • Must possess a valid California Driver’s License
  • Must have an Associate’s degree (A.A.) or equivalent from an accredited two-year college or technical school
  • Must have at least six months of related experience
  • Must be able to speak and write in English fluently

ADDITIONAL MINIMUM REQUIREMENTS

  • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to stand and walk
  • The employee must frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds
  • Vision abilities required to successfully work in this position include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus

Safety and Security: All employees are responsible for observing safety and security procedures as applicable and reporting potentially unsafe conditions to management.

  • Ability to develop and maintain courteous and effective working relationships with other tenants, staff, vendors and/or any other representatives of external organizations
  • Ability to manage difficult or emotional tenant situations; Responds promptly to tenant needs
  • Ability to solicit and apply resident feedback (internal and external)
  • Ability to read and comprehend simple instructions, short correspondence, and memos
  • Ability to meet the needs of the Company even with rapidly changing external and internal demands without wavering in professionalism and work ethic
  • Ability to accommodate and strategize, with minimal to no advance- notice as job assignment and priorities change
  • Ability to use a property management software and basic Microsoft Suite skills (Ex: Word, Excel, PowerPoint, etc)
